TRAVEL AND ARRIVAL
FLYING
The closest international airports are Roma (FCO) located about 2h30′ from the venue by car, and Pisa (PSA) which is about 1h30′ away. Please note that BCA does not provide transportation from these airports to the event’s venue, so please make sure to have your own arrangements (rental car or train to Follonica – the nearest station).
DRIVING
Tenuta Il Cicalino is just outside the town of Massa Marittima (GR), Toscana, Italy.

SETUP AND TEARDOWN INFORMATION – MEETING AND DEMO AREAS
SET UP INFORMATION
Your apartment will be available for you on Monday the 24th of February from 2:00pm onwards.
Upon your arrival please go straight to the reception desk at the Tenuta Il Cicalino.
Once checked in you will be able to move your products into the living space of your unit and set up the demo area outside.
LIVING ROOM – MEETING AREA
Your apartment’s living room will be used for product display and meetings with journalists.
ROOM SIZE approx. 15 sqm

One table with 4 chairs
One couch with 2 places
Shelves and cupboards
In case you would like to bring your own drinks/snacks for the meetings each unit has a fully equipped kitcken (w/electric range, plates, cups and cutlery) and refrigerator.
WE RECOMEND BRINGING FLAGS OR BANNERS TO BE PLACED OUTSIDE YOUR UNITS FOR ADDED VISIBILITY
It’s entirely up to you how to brand/merchandise the space but we recommend finding simple/straightforward solutions that can be easily integrated with the room’s furniture. You can see examples of how this was done in previous events in the gallery below:
Setup must happen between 2:00pm and 6:30pm on Monday 24th of February.
DEMO AREA
The demo area (front parking lot outside the reception) must be set up between 2pm and 6:30pm on Monday 24th of February. In case you have any special request please contact us in advance (i.e. electricity, etc.)
NOTE: a bike wash station will be set up close to the demo area. Secure indoor bike storage is in the main building, right next to the lobby (1-minute walk from the demo area)

TEARDOWN AND DEPARTURE INFORMATION
Tear down of product display or any other exhibition materials can start after lunch on Thursday the 27th and every space must be cleared before 7pm.
Your assigned apartment(s) must be vacated either by 7pm the night of Thursday February the 27th OR on the morning of February 28th before 10am depending on your accommodation arrangements (please note that the extra night stay must be requested and booked with the organization prior to the event and paid separately).
PLEASE NOTE: your setup in the demo area must be able to provide demo products until the scheduled end of test riding on Thursday February 27th.

TEST RIDING, UPLIFT AND PHOTO/VIDEO SCHEDULE
Test riding schedule:
Tuesday Feb. 25th and Wednesday Feb. 26th from 12:30 to 5:30pm,
Thursday Feb. 27th from 11:30am to 5:30pm (last shuttle up at 5:00pm)
A shuttle service will be running from the demo area to the top of the trails every day from the start of riding time to 5:00pm.
The Bike Service hut at the top of trails will offer water, coffee and snacks throughout the test riding time.
Our media crew will be available on the trails Tuesday and Wednesday from from 1:00pm to 5:30pm, Thursday from 12:00pm to 5:30pm
IMPORTANT: the media crew will be stationed around the top of the trails and concentrate on shooting photos and videos on the upper part of the hill to be within reach of everyone.
Photos will be uploaded daily on the BCA Dropbox.
Please work directly with the video guys for delivery of footage – either via USB stick or upload to Dropbox.
